Another important function is the ability to distribute to multiple locations at the touch of a button. "We use the multiple location distribution to send job orders to our office in Connecticut, our scheduling coordinator, and our director of operations at just one click. It makes our lives a lot easier," said Musto of the scanning to email capabilities.

But Musto admits that there are many other benefits to their Aficio 2035e that have yet to be employed. "We plan to, eventually, convert our entire workflow of each job - from proposal to invoice to payment - with the cataloging features on the Ricoh." ImageTech's electronic document workflow management, U.S. Sealcoat will be able to eliminate much of the filing space now used to store job and client information. Furthermore, the Automatic Optical Character Recognition (OCR) feature enables the Ricoh scanner to recognize characters on a scanned document - recognizing potential cataloging aspects such as invoice numbers, customer names and numbers, addresses, and infinitely more possibilities. Imagine typing in an invoice number (or any of the plethora of other indexing options) and instantly finding the one you seek without rummaging through heavy file cabinets; printing this invoice without worrying about dot matrix paper jamming in the paper feeder of conventional copiers; and simultaneously faxing this invoice with a professional cover page to your client to expedite payment.

Worried about security? All authorized employees can use the same access code they use to log into your network, removing any doubts of unauthorized access or scanning. Furthermore, you can track who uses the copier for what purpose - whether Jane in accounting is copying accounts receivable aging or the invitation to the annual celebration of her aging. The documents are all tracked by user monitors that tell who scanned images and who sent images all over the network.
